Uncover Nepal (uncovernepal.com) is a trading name of Zeta Tours and Travels Pvt. Ltd., a company registered in Nepal. In these Terms, "we", "us" and "our" mean Zeta Tours and Travels Pvt. Ltd., and "you" means the person using our website or booking with us, and anyone you book for.
These Terms apply when you use our website and when you book any service with us, whether through the website, by email, by WhatsApp, by phone or in person. Please read them before you book. By using the website or booking a service, you agree to them and to the laws of Nepal that apply to your trip.
Two other documents form part of our agreement with you:
- Our Booking and Cancellation Policy (uncovernepal.com/booking-policy/), which sets out deposits, payment dates, cancellation charges and refunds.
- Our Privacy Policy (uncovernepal.com/page/privacy-policy/), which explains how we handle your information.
Where a particular package or service has its own terms, we tell you in the quotation or confirmation, and those terms apply to that booking alongside these.
1. Using the website
1.1 Who can book
- You must be at least 18 years old to use our website, hold an account or make a booking.
- Bookings for children must be made by an adult, who is responsible for them.
- If you book for other people, you confirm that you have their permission to accept these Terms on their behalf and to give us their details.
- You confirm that all information you give us is accurate, current and complete. Wrong or incomplete details, for example a misspelt passport name, can cause permits and tickets to be refused, and we are not liable for the consequences.
1.2 Your conduct on the website
- Do not use the website for anything unlawful.
- Do not upload or send anything harmful, offensive or misleading, and do not interfere with the website or with other people's use of it.
- Do not try to gain access to any part of the website or its systems that is not meant for you.
- Keep your account password private. You are responsible for what is done through your account.
2. What we do
We are a travel company registered in Nepal that helps visitors plan and experience Nepal. Our services include:
- Treks, tours, day trips and multi-day activities across Nepal.
- Hotel, lodge and teahouse bookings.
- Trekking permits, park and conservation-area entry, and other permits that your trip requires.
- Helicopter charters and sightseeing flights, and domestic flight tickets.
- Vehicle rental and transfers, including airport pick-ups.
- Guides, porters and other on-the-ground support.
- Other travel-related services you may need while in Nepal, on request.
Our services are available to everyone, including international visitors and Nepali citizens.
Some of these services we deliver ourselves. Many are delivered by third-party suppliers: hotels, airlines, helicopter operators, vehicle owners and drivers, activity operators and government authorities. For those services we act as the organiser and as the intermediary between you and the supplier. Section 7 explains what that means for you.
3. How booking works
- You send us an enquiry, or ask our AI assistant, and tell us what you want.
- We reply with a plan and a written quotation. All quotations are subject to availability.
- You confirm the plan and pay the deposit or full amount stated in the quotation, through our official payment channels only (see section 5).
- Your booking is confirmed only when you receive a written confirmation from us, by email or another official channel. Until then, nothing is booked and no price is guaranteed. A message from our AI assistant is never a confirmation.
Deposits, payment dates, last-minute bookings and the consequences of late payment are set out in the Booking and Cancellation Policy.
4. Prices and payment
- Prices are in US Dollars (USD) unless we say otherwise. Where the website shows an amount in another currency, it is an approximate conversion for your convenience. The currency and amount in your written quotation are what you pay.
- Prices on the website can change without notice because of exchange rates, fuel costs, government fees, permit costs or other factors outside our control. Once we have confirmed your booking, the confirmed price is honoured.
- You can pay by bank transfer to the account named on your official invoice, by card through an official payment link we send you, or in person at our Kathmandu office against an official receipt, in US Dollars or the Nepalese rupee equivalent. Section 5 explains how to make sure a payment request is genuinely from us.
- International transfer and card fees are yours to pay. A payment counts as received when the funds reach our account.
- We never ask for your card details by email, chat or phone. Please never send them that way. When you pay by card, you enter your details yourself through the official payment link.
5. Paying safely: official channels only
Travellers to Nepal are sometimes targeted by people pretending to be a travel company, a guide or a staff member and asking for money to be sent to a personal account. This section protects you and us.
- We accept payment only through our official channels: bank transfer to the account named on your official invoice from Zeta Tours and Travels Pvt. Ltd.; an official payment link sent to you from contact@uncovernepal.com or from our published WhatsApp number, +977 9705413894; or payment in person at our office in New Baneshwor, Kathmandu, for which you always receive an official receipt.
- Never send money to a staff member's, guide's or agent's personal bank account, to a mobile wallet or payment app, or to any account that is not named on your official invoice, even if the request appears to come from us, and even if it comes with a plausible reason such as a bank problem or a discount for paying quickly.
- No member of our team, guide or driver is authorised to accept payment for a booking into a personal account. The only exception is tips, which you may give directly, in cash, to the people who looked after you.
- We will never ask for your card number, PIN, one-time password or online-banking login by email, chat or phone.
- If anyone asks you to pay another way, or the bank details you were given suddenly change, stop and check with us first. Call or WhatsApp us on +977 9705413894, the number published on this website, before sending anything. We would much rather answer a quick check than see you lose money.
- Money sent outside our official channels has not been paid to us. It does not confirm a booking, we cannot recover it, and we are not liable for it.
- If you think someone has tried this on you, tell us straight away, so that we can help you and warn other travellers.
6. Changes, cancellations and refunds
- If you want to change or cancel a booking, tell us in writing by email to contact@uncovernepal.com. The date we receive your email is the date that counts.
- The cancellation charges, refund timelines and the rules for changes are in the Booking and Cancellation Policy. Changes to a confirmed booking may attract extra charges from hotels, airlines or other suppliers, which we pass on to you.
- Some costs cannot be recovered once they have been incurred, whatever the notice period. These include permits and entry fees once issued, domestic flight tickets once ticketed, helicopter charters, non-refundable hotel rates you asked for, and pre-paid activities. The Booking and Cancellation Policy lists them.
- If we have to cancel your booking because of events outside our control, such as natural disaster, severe weather, political unrest, strikes, pandemics or government restrictions, or for a group departure because too few people have booked, we will refund what you have paid, less any non-refundable costs already incurred with suppliers, such as permits, flights or hotel deposits. Alternatively, you may move your booking to a future date at no extra charge from us, subject to supplier terms.
- We are not responsible for costs you have arranged independently, such as international flights or accommodation, when a trip is changed or cancelled. Travel insurance exists to cover these.
7. Third-party suppliers, and our role as intermediary
Hotels, airlines, helicopter operators, vehicle providers, activity operators and other suppliers each have their own terms, including their own conditions of carriage, check-in rules, cancellation rules and liability limits. When we book one of these services for you, you are also accepting that supplier's terms. We will tell you the important ones, or send them to you on request.
For supplier-delivered services:
- We choose suppliers with care, brief them properly and stay in contact with them during your trip.
- We are not liable for a supplier's own acts or omissions, for example a hotel overbooking, an airline cancelling a flight or a driver's conduct.
- If something goes wrong with a supplier, we will help you resolve it and, where we can, recover costs from the supplier on your behalf.
8. Specific services
8.1 Hotels and accommodation
- Hotel bookings are subject to the hotel's check-in and check-out times, deposit rules and cancellation rules.
- If you ask for a special or non-refundable rate, that rate's rules apply, and it cannot be refunded or changed.
- Room descriptions and star ratings are the hotel's own. On treks, lodges and teahouses are simple, and standards vary with altitude and remoteness.
8.2 Permits
- We apply for the permits your trip needs, for example TIMS cards, national park and conservation-area entry, and restricted-area permits, using the details and documents you give us. Permit fees are included in a package price unless we say otherwise.
- Permits are issued by government authorities in your name. They are personal, cannot be transferred, and are not refundable once issued, including if you turn back on the trail.
- Issuing a permit is the authority's decision, not ours. We are not responsible for a refusal or a delay caused by the authority, or by incorrect or late documents from you.
- Some areas require a licensed guide, a minimum group size or a passport copy in advance. We will tell you what applies to your route.
8.3 Helicopter charters and flights
- Helicopter and domestic flights in Nepal depend on weather and air-traffic clearance. The operator and the pilot decide whether a flight goes ahead, and their decision is final.
- If a charter or flight cannot operate, we will help you rebook it or arrange an alternative. Any charter cost the operator has already committed, and any fare that is non-refundable under the airline's rules, is passed on to you.
- We are not liable for the delay itself, for the costs it causes, such as extra nights, meals or alternative transport, or for onward connections you booked separately. Travel insurance can cover these.
- Helicopter operators set weight limits and may refuse baggage or passengers over the limit. You must give accurate weights when asked.
- Emergency evacuation, including by helicopter, is not part of any package unless stated. Its cost is yours or your insurer's, which is why we recommend insurance that covers it (see section 10).
8.4 Vehicle rental and transfers
- Vehicle rental includes a driver unless we agree otherwise in writing.
- Road conditions in Nepal are variable and journeys can take longer than planned. Times we quote are estimates.
- You are responsible for damage you or your party cause to a vehicle, beyond normal wear.
8.5 Day trips, activities and adventure sports
- Activities such as rafting, paragliding, bungee, canyoning and mountain flights are run by licensed operators under their own rules and safety requirements. You may be asked to sign the operator's waiver before taking part.
- Operators can cancel or postpone for weather or safety, and their decision is final.
9. Passports, visas and travel documents
- You are responsible for holding a valid passport, the correct visa for Nepal and any other document you need to enter and leave the country. Check the requirements for your nationality well before you travel.
- Nepal issues visas on arrival and online to most nationalities, but whether you receive one is the decision of the Department of Immigration, not ours.
- We are not responsible for any cost or loss caused by missing, incorrect or expired documents.
10. Travel insurance
We strongly recommend that every traveller has comprehensive travel insurance covering medical treatment, emergency helicopter evacuation and repatriation, trip cancellation and interruption, delays, and loss of baggage, and covering the activities on your itinerary up to the highest altitude you will reach. Without it, the cost of an evacuation, medical care or a cancelled trip is entirely yours. We do not sell insurance ourselves. We may ask for your insurance details before departure so that we can act quickly in an emergency.
11. Health, fitness and safety
11.1 Tell us about medical conditions
You must tell us, at the time of booking, about any medical condition, allergy, dietary need or other requirement that could affect your trip. We may decline a booking, or change an itinerary, if we believe a condition could put you or others at risk. Please talk to your doctor before booking a high-altitude trek or a strenuous activity.
11.2 Fitness
Some treks and activities need a good level of fitness. Each trip description says what is required. It is your responsibility to make sure you meet it.
11.3 Follow your guide
On treks and activities you agree to follow the instructions of your guide, trek leader or activity operator, especially on safety, altitude and route. If you do not follow safety instructions, the guide can remove you from the activity, and no refund is due.
11.4 Altitude, weather and remote terrain
Trekking and travel in Nepal involve real risks: altitude sickness, extreme weather, landslides, remote terrain and limited medical facilities. You acknowledge and accept these risks when you book. We may change an itinerary, including turning back or descending, when a guide judges it necessary for safety, including for altitude-related concerns. Unused services are not refunded.
11.5 Local laws and respect
You agree to obey Nepali law and to respect local customs, communities and the environment. Illegal activity ends our services immediately without refund. Fines or legal consequences from your own actions are yours. Any damage you cause to property, including hotels, vehicles and equipment, must be paid for by you directly.
12. Itinerary changes
Itineraries are plans, not guarantees. Roads close, flights are grounded, trails are blocked and weather changes. We may alter an itinerary before or during a trip for safety, weather, supplier failure or other reasons outside our control. Where we can, we will offer a comparable alternative.
13. Our liability
- We act as organiser and intermediary between you and third-party service providers, such as hotels, airlines, helicopter operators and local transport.
- We are not liable for any injury, illness, loss, damage, delay or inconvenience caused by third-party providers, weather conditions, natural events, or circumstances beyond our control.
- We are not liable for money sent to anyone outside our official payment channels (see section 5).
- Our total liability to you is limited to the amount you paid us for the specific service in question.
- Nothing in these Terms limits any liability that cannot be limited under the laws of Nepal.
14. Events outside our control
We are not liable for delays, cancellations or failures in performance caused by events outside our reasonable control, including natural disasters, earthquakes, floods, landslides, extreme weather, epidemics and pandemics, war, terrorism, strikes, civil unrest, government action, and airport or road closures. In such an event we will do what we reasonably can to offer an alternative, and any refund follows section 6.
15. AI-assisted information
We use technology, including AI, to help you plan. Where our website offers an AI assistant, or where content on the website has been produced with the help of AI, it can be wrong or out of date. Always confirm prices, availability, permit rules and safety information with our team before relying on them. Only a written quotation or confirmation from a member of our team is binding.
16. Intellectual property
Everything on the website, including text, photographs, logos, maps, itineraries, graphics, video and software, belongs to Zeta Tours and Travels Pvt. Ltd. or the people who have licensed it to us. You may not copy, publish, distribute or use it without our written permission, except to view the website and plan your own trip.
17. Reviews, photos and content you share
If you send us or post reviews, photos, videos or other content about your trip, on our website or our social media channels, you give us a non-exclusive, royalty-free, worldwide licence to use, reproduce and display it for marketing and promotion.
18. Privacy
How we handle your information is set out in our Privacy Policy (uncovernepal.com/page/privacy-policy/), which forms part of these Terms.
19. Complaints and disputes
If something goes wrong during your trip, tell your guide or contact us straight away, so we can put it right while you are still here. If you have a complaint after your trip, email contact@uncovernepal.com as soon as you can and we will look into it.
We will always try to resolve a dispute by talking it through with you. If that fails, the dispute is subject to the exclusive jurisdiction of the courts of Nepal and is governed by the laws of Nepal.
20. Governing law
These Terms are governed by and interpreted under the laws of Nepal.
21. Changes to these Terms
We may update these Terms from time to time. The new version applies from the date it is posted on the website, and continuing to use the website means you accept it.
